A leave application is a short request to your manager for time off. It sounds simple, but a sloppy one gets refused or delayed, and an unapproved absence can be marked as leave without pay. The goal is to make it easy for your manager to say yes: clear dates, a brief reason and a plan for your work.

When to send it

For planned leave such as a wedding, travel or an exam, apply as early as you can. Many offices commonly ask for at least a week's notice for two or more days off, and longer for extended leave. For sick leave, inform your manager by phone or message on the morning itself, then send the formal application the same day or when you return, as your company's policy says. Some companies ask for a medical certificate for sick leave beyond two or three days.

What to include

  • A subject line with the type of leave and the dates.
  • The first and last day of leave, and the day you will be back.
  • A one-line reason. You do not need to explain personal matters in detail.
  • Who will handle your work, and whether you will be reachable.
  • A polite request for approval.

Types of leave

Most companies separate casual leave, sick leave, earned or privilege leave, and special categories such as maternity leave. Each has its own rules and balance. Check your leave balance in the HR portal before you apply, and name the correct type in the subject line.

Common mistakes

  • Sending the application after you have already left, when policy requires prior approval.
  • Vague dates such as "a few days next week".
  • Forgetting to copy HR or to apply in the leave portal as well as by email.
  • Leaving urgent tasks with no owner, which makes the next request harder.
  • Writing a long emotional story. Keep it to three short paragraphs.

If leave is refused, ask for alternative dates rather than arguing in writing.
