An acceptance email, sometimes called a joining letter, is your written yes to a job offer. It confirms the role, the start date and that you accept the terms in the offer letter. Until the company has this, your seat is not fully confirmed, and some employers move on to the next candidate if they hear nothing.

When to send it

Reply within the time the offer letter gives, commonly two to seven days. If you need more time, say so before the deadline with a short, honest reason. If you have questions about salary, shift or location, ask them first and accept only after they are settled. Do not accept an offer you intend to drop later; it damages your name in the industry and can get you blacklisted at that company.

What to include

  • A subject line with the role and the word "acceptance".
  • The date on the offer letter and the job title exactly as written.
  • Your joining date and location.
  • A line confirming you accept the terms. You do not need to repeat the salary figure; "on the terms mentioned in the letter" is enough.
  • The signed offer letter as an attachment, if asked.
  • A question about documents or first-day instructions.

Before you send

Read the whole offer letter, including the notice period, probation, bond or training agreement, and work-from-home rules. If something differs from what was said in the interview, raise it now, politely, in a separate email. After you accept, changes are much harder.

Common mistakes

  • Accepting by a one-line chat reply with no record.
  • Typos in the role name or the company name.
  • Negotiating salary in the acceptance email. Negotiation comes before acceptance, not inside it.
  • Giving a joining date you cannot keep because your current notice period is longer.

Keep the tone warm but brief. Five to seven sentences is plenty.
