Virtual assistant communication questions

Questions VA and remote admin candidates face about written updates, scheduling and client communication.

1
How do you send a daily update to a client?

Three short sections: done today, in progress, blocked or need from you. Same format every day so the client can read it in thirty seconds.

2
How do you confirm a meeting across time zones?

State both times with the zone: '10:00 Manila (GMT+8) / 05:00 Lagos (GMT+1)'. Send a calendar invite and ask for a one-word confirmation.

3
A client gives unclear instructions. What do you do?

Restate what you understood in one or two lines and ask one specific question. Do not send a list of ten questions; pick the one that unblocks the work.

4
How do you handle a request outside your agreed scope?

Acknowledge it, say whether you can do it, and state any change to time or cost in writing before starting.

5
What tools do you use for written communication?

Name the ones you know: email, Slack or Teams, a shared document, a task board. Say how you keep messages in the right channel so that decisions are easy to find later.

6
How do you proofread your own messages?

Read once as the receiver, check names, dates and amounts, and shorten anything over 25 words. For important messages, wait a minute and read again before sending.

Practise out loud. Say each answer once as written, then again in your own words with your own number or story.

Have a number ready. "My Business writing score is at benchmark on a timed test" is a stronger answer than "I am good at it". Take the test and quote the result.
